Case Study – Geneva School of Boerne

A custom handbook solution for a PK-12 school.

Managing handbooks across a PK–12 school can be a time-consuming process, especially when relying on outdated tools like Word documents or static PDFs. For Geneva School of Boerne, that was the reality before partnering with Clean Catalog. With multiple schools under one roof and a growing community of parents, students, and staff all relying on accurate, up-to-date information, Geneva needed a handbook solution that wouldn’t slow them down. That’s where Clean Catalog stepped in.

The Challenges

Geneva School of Boerne is a private PK–12 school with a lot of moving parts. Before switching to Clean Catalog, all handbook content lived in static Word documents. This made updates slow to implement, hard to track, and even harder to publish. Multiple versions of the student and employee handbooks would circulate at the same time, leading to confusion and miscommunications.

Amy Simmons, Communications Assistant, explained that before adopting Clean Catalog, “we did not have a software [solution],” which meant there was no centralized system to manage content, workflows, or publishing. This created a hurdle not only to maintaining accuracy but also to making the handbooks widely accessible for parents, students, and staff alike.

Geneva's three-school structure — Grammar, Logic, and Rhetoric — meant a one-size-fits-all handbook wouldn’t offer the flexibility needed for their unique structure. The solution needed to serve several different audiences within a single, cohesive handbook experience.

The Process

Transitioning Geneva’s handbooks from Word documents to Clean Catalog software was a smooth and collaborative experience. According to Simmons, the shift was “seamless,” allowing the Geneva team to move quickly into a new, modern publishing workflow without any hiccups. The Clean Catalog team began by building two distinct handbooks: a Student/Parent Handbook and an Employee Handbook.

Within the Student/Parent Handbook, we implemented a structure that mirrors how families interact with the school. Each school, Grammar, Logic, and Rhetoric, has its own dedicated table of contents page, making navigation intuitive and user-friendly. At the same time, all programs are combined into a single, comprehensive PDF, with custom-designed cover pages introducing each section. This allows Geneva to enjoy the accessibility of online publishing while maintaining the ability to generate printable versions.

Our Solutions

To reflect Geneva’s internal review process, the Clean Catalog team built a two-step approval workflow. Assistants can submit updates to their respective School Heads, who then review and pass along content for final approval. This structure ensures accountability and accuracy, while still allowing updates to flow efficiently across departments.

On the front end, the handbook sites were both fully customized to reflect Geneva’s branding and values. As Simmons shared, Clean Catalog “created a handbook that is easy for parents and staff to use and went above and beyond to match our branding,” resulting in a polished, cohesive digital experience that aligns with the school’s primary website.

Equally important, the new administrative interface has empowered Geneva’s team to manage updates independently, reducing bottlenecks and manual data entry. Simmons noted that “my job is much easier,” highlighting that the system is “very user-friendly” and supported by live training sessions. This has allowed staff to hit the ground running with their new handbook sites.

Looking Forward

With Clean Catalog software in place, Geneva School of Boerne now has a flexible, modern system for managing both student-facing and internal resources. Updates can be made quickly, with workflows ensuring all edits are properly tracked before publication. With the digital and PDF versions of the handbooks syncing automatically, Geneva’s staff no longer has to worry about multiple versions circulating.

Simmons emphasized that the experience has been overwhelmingly positive, sharing that she “would recommend Clean Catalog” to a peer school and that the transition “has been a great process,” with a final product that the team is proud of. She also noted the strength of the partnership, describing the implementation team as responsive and supportive throughout the process.
