Spotlight — Inline Revisions Tool

May 9, 2023

Course catalogs are living, breathing documents that require frequent revisions to keep it up-to-date. For this reason, Clean Catalog has rolled out several built-in tools to make this process as painless as possible for your staff. Our inline revisions tool is the quickest and most efficient way to make, submit and review catalog revisions as part of your institution’s editorial workflow. Changes are quick and don’t require a major lift from your team, as they may experience if your institution uses a PDF catalog, outdated software platform, or must publish an addendum each time a change is made.

How to use the Inline Revisions Tool

The inline revisions tool is easy to access from the revisions portal, which allows you to toggle to view inline revisions. This means you can review revisions based on where they live within a page, with sufficient context to review the change in light of the surrounding text. Catalog admin can quickly make an update and then submit it to an approver for review. The approver can then view the requested revisions within the catalog itself, with new content highlighted in green and deleted content highlighted in red. From there, the approver can easily click to the “next change” to conveniently review all requested changes at one time. Changes can be accepted, denied, or the admin can add a log message asking follow-up questions or make suggestions.

Advantages of Inline Revisions

The Clean Catalog team has designed the inline revisions tool with the intent of making editing easy for your staff and allow them move content efficiently through an editorial workflow. No longer is it necessary for your staff members to engage in long-winded email conversations or schedule meetings to review and discuss catalog revisions. Instead, they can make, review, and approve catalog edits virtually, in real-time, and on their own schedule. The revisions portal also allows admin to toggle to view or revert back to previous catalog versions. This not only ensures that content is never permanently erased, but gives your staff peace of mind that any mistakes are fixable and can be reverted.

Use Cases

Your institution’s staff may rely on the revisions portal when making catalog edits for various reasons during the academic year. One of the most common use cases is when your institution is applying for accreditation or up for a renewal. Since accrediting institutions require an increasing amount of content to be included in your published catalog, the revisions tool can be an efficient way for your team to add the required information and push it to an admin to review.

The inline revisions tool also comes in handy when your institution begins to make catalog revisions for the upcoming academic year. Many of our clients opt to lock their catalog for edits at this time, another tool we offer for simplifying the process. Aside from major catalog overhauls, your team likely needs to make one-off edits throughout the catalog year. Whether it be correcting typos, updating course information, or adding new policies to your table of contents, the revision portal is a quick and easy way to submit those changes.
