Ways to Use PDFs in Catalog and Syllabus Management

March 16, 2026

Easy and customizable PDF generation has been a core part of our software from the start. Our client base, particularly in higher education, have always needed an easy way to make PDFs of their whole catalogs. But because our PDF-generation functionality is flexible and can easily be adjusted, we've worked with our clients to expand it into a number of other use cases beyond (but still including) whole catalogs. Here's an always-growing list.

Whole Catalog PDFs

Many institutions require a full catalog PDF for accreditation, board review, or historical archives. These serve as official snapshots of the catalog at a specific point in time, and contain all course listings, degrees, programs, and policy pages. With Clean Catalog software, full PDFs can be generated on demand from your active catalog. When revising your catalog, edits only need to be made once for them to be updated globally everywhere that content is displayed, including on the PDF versions of your catalog.

Single Page PDFs

A frequent PDF use case is when a student or staff member needs to export a specific piece of content from your catalog rather than the catalog in its entirety. Clean Catalog software allows you to export single pages from your catalog as PDFs, including program pages, course listings, degrees, and policy pages. This makes it easy to distribute specific content without including irrelevant information.

Handbooks

Course catalog sites often house more than just the catalog itself. Schools can publish student handbooks, faculty handbooks, and institutional policies within the same system, with PDF generation available for offline access and distribution.

Curriculum and Advising Guides

Advisors and students often need simplified, program-specific information. PDFs of degree pathways, career outlooks, and curriculum guides can be exported on demand to help aid academic planning. This makes it easy to share clear, relevant information without navigating the full catalog.

Catalog Sections

Departments and stakeholders don’t always need the entire catalog. PDF exports can be limited to specific sections, such as a single department, program group, or policy area, making it easier to share specific content without overwhelming the reader.

Individual Syllabi

There’s a recent, growing emphasis on syllabus transparency, making downloadable syllabi PDFs more important than ever. Syllabi are among the most frequently downloaded documents, as many students prefer a printed version to reference throughout the semester. Within Clean Catalog software, built-in templates and required fields ensure each syllabus is complete, consistent, and ready before it’s published or exported.

Archived Syllabi

Accrediting agencies often require institutions to maintain historical records of course content. PDFs provide a reliable way to archive syllabi by term or academic year, making them easy to reference for accreditation or compliance on an as-needed basis. This approach also eliminates the need to store past syllabi locally while keeping records organized and accessible.

Built-In, On-Demand PDF Generation

One of the biggest challenges with PDFs is the time it takes to create and update them. Clean Catalog removes that burden with built-in, on-demand PDF generation. This feature is available at no additional cost and built into all Clean Catalog software. Institutions can instantly export entire catalogs, individual pages, syllabi, custom sections, and handbooks.

Because PDFs are generated directly from live content, there’s no need to recreate documents, edit content in multiple locations, or manage duplicate files. Everything stays consistent, accurate, and up to date. When integrated into your course catalog software, PDFs become a seamless extension of your content. The result is less administrative lift for staff and greater accessibility for students, faculty, and stakeholders.
